This policy explains what personal information Virbaze handles, why we use it, who may receive it and the choices available to you.
1. Scope and responsibility
This policy applies when you visit Virbaze, create an account, place or look up an order, save a product, submit a review, contact support or otherwise use our services.
Virbaze is responsible for deciding how personal information collected through the marketplace is used. Third-party platforms and payment providers may separately control information they collect under their own privacy policies.
2. Information you provide
We may collect your name, email address, phone number, account credentials and communication preferences. For an order, we collect the products purchased, billing and payment status, and delivery details such as a player ID, gaming username, server, region or other information required for fulfilment.
We also receive the content of support requests, reviews, refund claims and any screenshots or evidence you choose to submit. Please do not send information that is not needed to resolve your request.
3. Google sign-in data
If you choose Continue with Google, Google provides Virbaze with the basic account information you approve: your Google account identifier, name, email address and profile picture. Virbaze requests the standard openid, email and profile permissions only. We do not request access to your Google Drive, Gmail, contacts, calendar, passwords or payment information.
We use this information only to authenticate you, create or link your Virbaze account, display your account identity, secure access, and connect your orders, wishlist and support history to you. Google sign-in is optional; you may create an account with email and password instead.
4. Google user data use and control
Virbaze does not sell Google user data, use it for advertising, or allow people to read it except where needed to provide support, protect the service, comply with law, or operate the account through authorised service providers. Our use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.
You can disconnect Virbaze from your Google Account permissions and may ask us to delete your Virbaze account and associated Google profile data through our Contact page. Revoking Google access stops future sign-in through Google but does not automatically remove transaction records we must retain for accounting, fraud prevention or legal obligations.
5. Information collected automatically
When you use the website, we may receive technical and usage information such as your IP address, browser and device type, approximate location derived from network information, pages viewed, referring page, timestamps and security events. We use this information to operate the service, understand performance, prevent fraud and diagnose errors.
6. How we use information
- Create, authenticate and secure your account.
- Calculate prices, process orders and provide digital delivery.
- Verify payments and prevent fraud, abuse and unauthorised access.
- Provide support, investigate delivery issues and process valid refunds.
- Maintain order, accounting and audit records.
- Improve product availability, website reliability and customer experience.
- Send service messages and, only where permitted, marketing you have requested.
- Meet legal obligations and establish or defend legal claims.
7. Reasons for processing
We handle information where it is needed to perform our contract with you, comply with legal duties, protect our legitimate interests in operating and securing the marketplace, or act on your consent. You may withdraw consent for optional marketing at any time without affecting earlier lawful use.
8. Payments
Card and Mobile Money transactions are processed by payment providers. Virbaze receives transaction references, payment status and limited payer details needed to match and support an order. We do not store your complete card number, card security code or mobile-money PIN.
9. When information is shared
We share only what is reasonably necessary with providers that support authentication, payment processing, cloud hosting, communications, fraud prevention, analytics and product fulfilment. These providers process information for defined services and are expected to protect it.
We may also disclose information when required by law, to respond to a valid legal request, to protect customers or the service, or as part of a business reorganisation. We do not sell your personal information, including information received from Google.
10. International processing
Some service providers may process information outside Ghana. Where this happens, we take reasonable steps to use providers and safeguards designed to protect the information in accordance with applicable data-protection requirements.
11. Retention and deletion
We keep personal information only for as long as needed for the purposes described here. Order, payment, fraud-prevention and accounting records may be retained for the period required by law or reasonably needed to resolve disputes. Support records are kept while relevant to your request. When information is no longer needed, it is deleted, anonymised or securely restricted.
To request deletion of your account or Google profile data held by Virbaze, contact support@virbaze.com from the email linked to your account. We will verify the request, delete or de-identify eligible account information, and explain any records that must lawfully be retained.
12. Security
We use access controls, encryption and operational safeguards designed to protect personal information. Digital codes and sensitive fulfilment details are encrypted and limited to authorised staff and the relevant customer. No online service can guarantee absolute security, so you should use a unique password and notify us promptly of suspicious account activity.
13. Cookies and local storage
Virbaze uses essential browser storage and similar technologies to maintain your session, remember your cart and preferences, and keep the service secure. We may use limited performance measurements to understand how the website works. You can control non-essential technologies through available settings and your browser, but blocking essential storage may prevent account or checkout features from working.
14. Your rights
Subject to applicable law, you may ask for access to your personal information, correction of inaccurate information, deletion, restriction or objection to certain uses, or a portable copy. You may also withdraw consent and opt out of marketing.
We may need to verify your identity before acting on a request. Some records cannot be deleted immediately where retention is required for payment, tax, fraud-prevention or legal reasons. You may also raise a concern with the relevant data-protection authority.
15. Children
Virbaze is not directed to children who may not lawfully enter a purchase contract. If a child uses the service, a parent or legal guardian must supervise the activity and payment. Contact us if you believe a child provided personal information without appropriate permission.
16. Account choices and communications
You may update certain profile information in your account and may opt out of promotional communications using the available unsubscribe method. We may still send transactional or security messages needed to operate your account, complete an order or respond to a request.
Closing an account does not automatically delete records that must be retained for completed orders, accounting, fraud prevention, legal claims or regulatory obligations.
17. Reviews and public content
A published product review may display the name or display name associated with your account, rating, review text and whether the purchase was verified. Do not include contact information, order credentials or other sensitive information in a review. We may moderate content to protect users and maintain the integrity of the marketplace.
18. Automated checks
We may use technical rules and risk signals to identify unusual payments, account access, repeated claims or activity that may indicate fraud. These checks can cause an order to be held for manual review. You may contact us if you believe a decision was based on incorrect information.
19. Changes and contact
We may update this policy when our services or legal obligations change. The latest version and effective date will remain on this page.
